JOB SUMMARY

This position is responsible for performing more complex clerical work in support of Municipal Court.

MAJOR DUTIES

  • Assist with court preparations; prepares files for Solicitor’s review. 
  • Ensures the efficient flow of case files to and from the courtroom and to the clerks during court proceedings.
  • Submits requests for evidentiary videos and forwards to Solicitor.
  • Processes discovery requests from defense attorneys.
  • Responds to email and faxes from attorneys and paralegals regarding entries of appearance, leaves of absence, and the filing of legal motions.
  • Resets cases at the request of the Solicitor or defense attorneys and notifies defendants, bonding companies, and defense attorneys as needed.
  • Ensures the efficient movement of attorneys and defendants through the Solicitor’s pre-trial conference line.
  • Manages the flow and exchange of documents between all parties during court.
  • Edits cases in software system after reductions or dismissals are documented by the Solicitor.
  • Coordinates with the assisting bailiffs in order to maintain crowd control and order in the courtroom and hallways.
  • Presents video evidence to the Judge and to defendants on behalf of the Solicitor during trial.
  • Views defendant evidence during court and makes reports to Solicitor. 
  • Interviews trial witnesses by telephone as requested by the Solicitor.
  • Answers non-legal questions from defendants during court.
  • Runs criminal histories for case files.
  • Views body and dash camera footage for cases pending prosecution and gives related input to the Solicitor.
  • Corresponds with law enforcement regarding reports and other pertinent information for case files.
  • Serves as the Assistant TAC (Technical Administration Coordinator).
  • Performs related duties.

KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of Municipal Court policies and procedures.
  • Knowledge of applicable recordkeeping requirements.
  • Knowledge of legal forms, documents, and terminology.
  • Knowledge of federal and state laws and of city ordinances.
  • Skill in the use of computers and job-related software programs.

SUPERVISORY CONTROLS

The Municipal Court Administrator assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES

Guidelines include state laws, local ordinances, court rules and regulations, and judges' orders. These guidelines are generally clear and specific but, may require some interpretation in application. 

COMPLEXITY/SCOPE OF WORK

  • The work consists of related clerical and customer service duties. Frequent interruptions contribute to the complexity of the position.
  • The purpose of this position is to provide support for the day-to-day operations of the court office. Successful performance contributes to the efficiency and effectiveness of court operations.

CONTACTS

  • Contacts are typically with co‑workers, other city employees, law enforcement personnel, attorneys, judges, detention officers, probation officers, the Judge and Solicitor, and members of the general public.
  • Contacts are typically to exchange information, resolve problems, and provide services.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

  • The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, bending, crouching, or stooping. The employee occasionally lifts light and heavy objects and distinguishes between shades of color.
  • The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

None.

MINIMUM QUALIFICATIONS

  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with the completion of an Associates degree.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for three to four years, or any equivalent combination of education, experience, training which provides the knowledge, skills and abilities to perform the work.
  • Possession of or ability to readily obtain and maintain GCIC/NCIC certification.
  • Possession of or ability to readily obtain and maintain the TAC (Technical Administration Coordinator) certification.
